Job Opening: Administrative Assistant
Reports To: Director of Operations
Status: Part-Time, Non-Exempt (with the possibility to increase hours in the future)
Start Date: Flexible Start Date -July/August
Compensation: $25.00 per hour
Schedule
The ideal schedule is Monday through Friday, 9:00 a.m.–1:00 p.m. or 10:00 a.m.–2:00 p.m.
This position requires flexibility to occasionally work additional hours for special events, including Friday evening Shabbat services, occasional Saturday morning services, and other evening or weekend programs as needed.
Position Summary
Chochmat HaLev is seeking an organized, detail-oriented, and warm Administrative Assistant to support the daily operations of our vibrant Jewish Renewal community. This person will play an essential role in ensuring that our office runs smoothly, our members and visitors receive excellent service, and our educational and community programs are well supported. The ideal candidate is highly organized, enjoys administrative work, communicates professionally, takes initiative, and is comfortable juggling multiple priorities in a collaborative environment.
Primary Responsibilities
Office Administration:
● Monitor and respond to the Chochmat HaLev general email inbox.
● Answer incoming phone calls and respond promptly to voicemails.
● Welcome visitors and provide a friendly, professional first point of contact.
● Provide general administrative support to the Director of Operations and other staff members.
● Perform data entry and maintain accurate organizational records.
● Assist with routine administrative projects and special assignments.
● Provide administrative support for adult education classes and programs.
● Assist with welcoming and onboarding new members.
● Maintain accurate email lists.
● Support projects assigned by the Director of Operations and other staff members
Event & Facility Support:
● Assist with event, class, and meeting setup and cleanup.
● Support staff with logistics for larger events, including communication with volunteers,
presenters, vendors, and participants.
Qualifications
● Previous administrative or office experience preferred.
● Strong organizational skills with exceptional attention to detail.
● Excellent written and verbal communication skills.
● Ability to manage multiple priorities and meet deadlines.
● Friendly, professional, and welcoming demeanor.
● Ability to work independently while collaborating effectively with staff and volunteers.
● Strong problem-solving skills and a proactive approach to work.
Technical Skills
Experience with—or willingness to learn—the following:
● Google Workspace (Docs, Sheets, Drive, Calendar)
● Mailchimp
● Humanitix
● Vimeo
● Microsoft Office
● WhatsApp
● Membership databases or CRM systems
Physical Requirements
This position occasionally requires:
● Setting up tables, chairs, and classroom materials.
● Lifting and carrying items up to approximately 25 pounds.
● Standing and walking during programs and events.
● Moving supplies and event materials as needed.
